Event Management (up to 14 hours)

With three dedicated coordinators on-site, your wedding day is fully supported.

One coordinator remains focused on you, your partner, and the wedding party, while the second manages vendors, décor setup, and guest flow — allowing the day to move smoothly, calmly, and with intention.

Pre-Wedding Consultation & Site Visit

Service begins once the venue has been booked. Six planning meetings (virtual or in-person) beginning six months prior. Meetings focus on logistics, vendor procurement, vendor coordination, layout planning, and timeline development.One pre-wedding venue walkthrough (up to 2 hours) to finalize flow, access points, and setup plans

Planning Portal & Organization Tools

Access to a personalized planning portal, including:

Wedding planning checklist
Vendor schedule planners
Expense tracker
Task lists and key reminders

Designed to keep everything organized and easy to reference throughout the planning process.

Timeline, Floor Plan & Logistics Development

Creation and refinement of a comprehensive wedding day timeline. Identification and resolution of timing gaps, transitions, and overlaps. Integration of vendor schedules so all teams are aligned. Floor plan review and coordination with the venue to ensure functionality and guest flow. Everyone involved — from vendors to family — knows where to be and when.

Vendor Guidance & Coordination

Vendor research support and recommendations aligned with your venue, priorities, and budget. Final confirmation of arrival times, services, and special instructions. Collection and distribution of essential venue logistics including insurance requirements, loading instructions, parking details, and venue guidelines. Timeline and logistics shared with vendors ahead of the wedding day

Photography & Key Moment Oversight

Coordination with photography and videography teams to align timelines and shot priorities. Efficient organization of family and group photos. Proactive cueing of major moments including first look, ceremony transitions, cocktail hour, and reception highlights.

Ceremony & Reception Coordination

Direction of the ceremony processional and transitions. Coordination of entrances, speeches, meal service, dances, and formal moments. Ongoing oversight to maintain pacing and flow throughout the celebration.

Wedding Party & Guest Support

Guidance for wedding party and immediate family throughout the day. Assistance with seating arrangements and guest direction between locations. Distribution of bouquets, corsages, and personal items. Ensuring rings, vows, and marriage license are always accessible.

Décor Setup & Styling

Placement of escort cards, signage, menus, table numbers, programs, and personal décor. Styling adjustments and movement of décor or florals as needed throughout the day. Assembly and delivery of welcome bags or favors (items must be mailed at least one month in advance).

Stationery & Signage Support

Design guidance and print order coordination for stationery and signage. Assembly included. Printing, delivery, and production costs billed separately.

Payment, Gifts & Personal Items

Collection and discreet distribution of final vendor payments and gratuities. Assistance in securing gifts and personal items

Emergency Kit & Day-Of Essentials

Access to a fully stocked emergency kit for you and your wedding party, along with calm, proactive handling of any last-minute adjustments — so you can stay present and enjoy your day.

Post-Ceremony Décor Removal & Organization

After your celebration, your coordinator manages the careful packing, removal, and loading of décor items, ensuring your belongings are organized and ready for pickup or delivery.

Ongoing Support

Unlimited email support and check-ins from the moment you book until your wedding day.

Guidance and reassurance every step of the way to keep you confident and relaxed.

Ceremony Rehearsal Support

Optional add on $350. Your coordinator attends your ceremony rehearsal, guiding your bridal party, family, and key participants to ensure everyone knows their role and the day runs flawlessly.

Optional Upgrade for Multi-Day South Asian Weddings:

Add two coordinators for a pre-wedding event, $2,000. Service includes 6 hours and event planning

Additional Coordinators: This package includes (2) Two event coordinators. Additional coordinators are required for large or complex weddings, including South Asian or multicultural events, nontraditional venues, or spaces requiring extra setup. Service and fees will be determined by your Lead Coordinator.
Holiday Weddings: Thanksgiving, Christmas Eve/Day, and New Year’s Eve/Day incur a 25% holiday fee. Paid-in-full discounts do not apply.

Booking Policy: Weddings booked within 30 days of the event require full payment upfront. Paid-in-full discounts are not available for these bookings.
Scope & Safety: Coordinators focus on logistics, vendor management, and timeline execution. For liability purposes, they do not serve food or drinks, bus tables, hang décor requiring ladders, or move heavy equipment.
Travel & Expenses: This package can be applied worldwide. Travel, accommodations, and related expenses are additional and will be quoted per event.
Extended Hours: Additional hours can be arranged for an extra fee as needed.
